Privacy Notice

Updated · 4 October 2026

1. Scope and Contact

House of Quin (“HOQ”) is a service within PRC Elite Management. This notice describes the processing of personal information in connection with HOQ’s website, enquiries and introductory conversations.

Privacy enquiries and requests may be sent to hello@houseofquin.com.

Business Correspondence Address:
House of Quin, c/o PRC Elite Management
Elizabeth Suite, 3rd Floor, 207 Regent Street, London, W1B 3HH

PRC Elite Management operates as a UK sole-trader business.

2. Personal Information Collected

Information supplied directly may include names, email addresses, telephone numbers, general service areas, service interests, enquiry responses and subsequent correspondence. Technical information processed in operating the website may include IP addresses, timestamps, browser information and security or delivery logs.

Contact details are required to respond to a service enquiry. Feedback may be submitted without them. Providing information is voluntary; insufficient information may prevent HOQ from considering or responding to a request.

Website forms are not intended to collect full property addresses, travel dates, access credentials, security arrangements, medical records, payment-card details or confidential information about third parties.

3. Purposes and Lawful Bases

Submitting an enquiry does not subscribe the sender to marketing. HOQ does not use enquiry information for solely automated decisions producing legal or similarly significant effects.

4. Enquiry Handling and Recipients

Submitted answers are processed for delivery to the HOQ email inbox. Where an email address is provided for a response, an acknowledgement is sent to that address. New form answers and contact details are not retained in the website’s enquiry database. Limited delivery metadata is retained for retry control and duplicate prevention.

Service providers process information as necessary for website hosting, email, appointment scheduling and client administration. These include OpenAI Sites and its hosting infrastructure, Render (the email relay), Proton Mail, Calendly and, where an engagement proceeds, Notion. Information may also be disclosed to professional advisers or competent authorities where necessary for legal obligations or the establishment, exercise or defence of legal claims.

Information required for an agreed service may be transferred into the HOQ client administration area. Additional collection and any necessary supplier disclosures will be addressed during onboarding.

5. International Processing

Website hosting and related processing are provided through OpenAI Sites. UK-only hosting is not guaranteed. The ChatGPT Sites Data Processing Addendum governs hosted personal data for individual-plan users and incorporates the EU Standard Contractual Clauses with the UK Addendum for UK data. Processing involves OpenAI OpCo, LLC in the United States and authorised sub-processors identified in the provider’s published list.

Proton Mail states that its email servers are located in Switzerland, Germany and Norway. These destinations are covered by UK adequacy regulations. Calendly processes scheduling information in the United States and other jurisdictions; its Data Processing Addendum specifies the applicable Data Privacy Framework and contractual fallback safeguards.

Information about applicable safeguards may be requested at hello@houseofquin.com. The email relay is hosted by Render in Frankfurt, Germany. This service location does not guarantee that all provider operations, support access, logs or sub-processing remain in Germany. Render’s Data Processing Addendum provides for the applicable Data Privacy Framework and, where it does not apply, Standard Contractual Clauses with the UK Addendum. Any later transfer into client administration will be explained during onboarding.

6. Retention

Enquiry correspondence is retained only for as long as necessary to consider the request, conduct relevant follow-up and resolve outstanding matters. Retention decisions take account of the enquiry’s status, the date and substance of the last contact, any resulting engagement and applicable legal or claims-related requirements. Information no longer required is deleted or anonymised.

Website delivery metadata becomes eligible for deletion after seven days without an update and is removed when the next submission is processed. Booking access expires after 24 hours. Provider backups and technical logs may be subject to separate retention schedules.

7. Confidentiality

Enquiry information is used for the purposes described in this notice. Access and disclosure should be limited to those who require the information for those purposes. Specific confidentiality obligations may be agreed in a service agreement or non-disclosure agreement. An NDA does not replace data-protection obligations or prevent disclosures required by law.

8. Individual Rights

Subject to applicable conditions, individuals may request access, rectification, erasure, restriction of processing or data portability. Where processing relies on consent, consent may be withdrawn without affecting the lawfulness of earlier processing.

Right to object: individuals may object to processing based on legitimate interests on grounds relating to their particular situation.

Requests should be sent to hello@houseofquin.com. Proportionate identity verification may be required. Individuals may also lodge a complaint with the Information Commissioner’s Office.

9. Cookies and External Services

The Cookie Policy describes essential storage and controls for the optional embedded calendar. External services apply their own privacy information to processing undertaken on their websites.

10. Amendments

This notice may be amended to reflect changes in processing or legal requirements. The date above identifies the current version.
